A document is more than its words. The size of the page, which way round it is, how wide the margins are, where one page ends and the next begins: all of these are set, and all are examined.

7 things to know

  1. Page layout: page size, orientation (portrait is taller than wide, landscape is wider than tall), margins, the number of columns, column width and the space between columns.
  2. A page break forces the text that follows to start on a new page. A column break forces it to the top of the next column. A section break lets different parts of a document have different layouts, such as a different orientation or number of columns.
  3. A gutter margin is extra space on the binding edge, so that text is not hidden when the pages are bound.
  4. Line spacing can be single, 1.5 times or double, with extra space before or after paragraphs.
  5. Tab stops line text up: left, right, centred or decimal, which lines up decimal points. A hanging paragraph has its first line at the margin and its other lines indented.
  6. Text enhancements: bold, underline, italic, superscript (raised, as in m²), subscript (lowered, as in H₂O) and changes of case. Lists can be bulleted or numbered.
  7. Find and replace changes every example of a word or phrase. "Match case" finds only text with the same capital letters, and "whole words" ignores the text when it is part of a longer word.

Worked example

In a long report, one wide table must be on a landscape page while the rest stays portrait. How is this done?

  1. Insert a section break before the table and another after it.
  2. Change the orientation of that section alone to landscape.
  3. The sections before and after stay portrait.

Tips and tricks

  • Section break: a change of layout. Page break: just a new page. If the layout changes, it has to be a section break.
  • Know why a gutter margin is used, not only what it is: so that text is not lost in the binding.
