Layout is where things sit on the page: how text flows round a picture, how a table holds data in line, and what repeats at the top and bottom of every page.
6 things to know
- Editing tools: highlight, delete, cut, copy, paste, move, and drag and drop.
- Text wrap controls how text flows round an image, table or chart. Square: the text keeps to a box around the object. Tight: the text follows the object's outline. Above and below: the text stops above the object and carries on beneath it.
- A table is made of rows and columns of cells. Rows and columns can be inserted or deleted, and cells can be merged into one.
- Cells can be aligned horizontally (left, right, centre or fully justified) and vertically (top, middle or bottom). Gridlines can be shown or hidden, cells can be shaded, and row heights and column widths adjusted.
- A header is an area at the top of every page, and a footer is an area at the bottom.
- Headers and footers show the same information on every page, such as the title, the author's name, the date and page numbers. Automated fields, such as the page number, the total number of pages, the date and the file name, are filled in and updated by the software.
Worked example
A ten-page report must show the author's name at the top of every page and "Page 3 of 10" at the bottom. How is this done efficiently?
- Type the name once in the header. It then appears on every page.
- Put automated fields for the page number and the total number of pages in the footer.
- The software works out the numbers for each page, and updates them if pages are added.
Tips and tricks
- The purpose of a header or footer: the same information on every page, entered once.
- Automated fields update themselves. Typing "Page 1" by hand is not an automated page number.
